Basic settings #

Name #

Here, you can configure a name for the network. This name appears in the system emails, for example.

Report content #

Requirements: 

Customisable: tixxt Enterprise, IndividualCloud Enterprise, IndividualCloud Maxx

Automatically activated: tixxtCloud Essentials, tixxtCloud Business, tixxt Department, tixxt Business

Here you can activate or deactivate the ‘Report content’ function. This function is activated by default.

If this function is activated, users are given the opportunity via the ‘Info-i’ {screenshot} at the bottom left in the network to report content due to possible violations of the terms of use. Clicking on ‘Report content’ opens an input window in which the user is asked to enter details of the reported content (mandatory information):

  • Link to content (Links to posts or comments can be copied to the clipboard via the context menu)
  • Type of problem (selection: unacceptable content posted, too pushy or aggressive advertising, general problem)
  • Details about your report (enter your own text)

By clicking on ‘Submit’, the report is sent to the network administrators; clicking on ‘Cancel’ discards the report.

The user also has the option to report a specific post via the context menu on posts. Clicking on ‘Report post’ opens the input window described above; you do not need to enter the link.

Joining the network #

Under ‘Joining the network’, the network admin defines whether or not and how a new user can join the network.

Users can join by themselves #

The first option, Users can join by themselves, defines whether registration should be offered on the network home page. If this box is ticked, the Sign up option appears on the home page next to the login window.

If this box is not ticked, registration is not offered on the home page.

Moderated registration #

Moderated registration is activated by default and ensures that new users must be approved by the network admin after registering. If this check mark is removed, all new users can access the network directly after registering. For this reason, this setting should only be deactivated after careful consideration.

New users who wish to join the network can be approved to do so under Membership requests.

Captcha while registering #

This option is only available while self-registration is active on the network. Users trying to register via the ‘Sign up’ link on the login screen will have to complete a Captcha check. This can help to prevent spurious sign-up attempts from bot accounts

Guest user #

If this option is activated, all users who register in the network via the home page are automatically guest users.

Let users fill in their profiles when joining #

tixxt recommends activating this setting. If this option is activated, all new users are required to fill out a profile during the registration process. If the box is not ticked, users are only required to enter an email address to register. The profile can be completed at a later time by the user.

Section admins may invite users into the network #

To take some workload off the network administration, it can be useful to assign section admins the permission to invite users to the network. Activating this option adds the ‘Invite Users’ button in the ‘Section Members’ menu in the sub-community administration. If the option remains unchecked, only network administrators can invite users to the network. Group assigment on invitation is limited to groups within the sub-community for this type of network invitation.

Promote groups in the registration process (Group promotion) #

If this setting is activated, each user receives a list of groups to join during the registration process. If this box is ticked, the network admin has the possibility to configure the group promotion below.

Common use cases

Group promotion

Group promotions can be used to encourage new members to join relevant or important groups. This is particularly suitable for groups that serve as general information channels, the content of which should ideally be seen by all users. For example, “Industry News” or “Message from the Board of Directors”.

Title #

The title of the group promotion from which the user selects their first groups during the registration process.

Description #

Here you can enter additional information about the group promotion which should be displayed to the user.

Sections #

The network admin can select entire sections whose groups are offered to the user during registration. Only groups with the status Open or Closed with membership moderation activated (see Joining groups) are displayed. Groups are offered in opt-in mode, i.e. no groups are preselected for the user.

Groups #

Individual groups can be selected here, which are suggested during the registration process in opt-out mode. This box is ticked by default but the user has the option to remove the checkmark.

Guest user #

If this box is checked, new guest users are also shown group promotions during the registration process. This contains all groups which are approved for guest users.

Login form #

Requirements:

Old packages: tixxt Business, tixxt Enterprise

New packages: tixxtCloud Business, IndividualCloud Enterprise, IndividualCloud Maxx.

This configuration option allows you to adapt the network login form. You have the option to integrate the text before, in the centre or below the form.

Text is entered using an editor which allows the text to be formatted. The use of HTML code is also allowed to a limited extent.

Directories #

Sort member directory #

The member directory can be sorted either by the first name or last name of the user. Member names are sorted by last name by default.

Map view #

Requirements: tixxt Business, tixxt Enterprise, tixxtCloud Business, IndividualCloud Enterprise, IndividualCloud Maxx

If this function is activated, the user has the option of displaying users in the user directory on a map. Once the setting is changed from ‘Deactivated’ to ‘Activated’, additional configuration options appear:

Common use cases

Map view

The map view makes it easy to get an overview of how the members of the platform are distributed geographically. It is ideal if you want to enable users to network across regions. Every member who has entered an address in their profile is shown on the map. Taking a look at the map is particularly worthwhile for internationally active organisations. Perhaps a member will be surprised to see how close they live to  some user?

This part of the map will be shown after loading #

Here you can configure what users see first when they open the map in the directory. If ‘All users’ is selected, the map displays a section that is able to show all network users who have entered an address in their profile. (Hint: A maximum of 2,500 entries can be displayed at once). If ‘Address’ is selected, you can specify any address and a zoom level as the starting point for the map view.

Profile fields in directories #

Here you can select individual profile fields to be displayed below the usernames in the member directory. By clicking in the field, a list opens showing all the profile fields available in the respective network. You may select as many as you like.

Primary identification field #

Here you can choose a profile field whose content is displayed in various places in the network, either after or under the username. This allows you to recognise an affiliation to a specific association or company at a glance. The primary identification field appears in the following places:

  • In directories
  • In feed
  • When selecting people using the search function
  • When a person is mentioned, for example in posts
  • For invitations in the appointments module, especially in the member field when creating and editing invitations
  • With direct messages (author/recipient)

Common use cases

Primary identification field

This function can be very useful for networks with many members, where it might happen that there are several people of the same name. Using the primary identification field, these users can be easily distinguished from one another, e.g. if you want to tag one of them by name in a post. This prevents mix-ups, as for example the associated organisation, the department or – in larger organisations – the relevant location can be displayed next to the user name.

Profile field filter in the user directory #

Here you can configure a filter for sorting the user directory. Clicking on the text field displays possible profile fields that are available for filtering the directory. This is currently limited to selection fields. You may select as many profile fields as you like.

    Anonymise users after deleting them? #

    Requirements: tixxt Enterprise, IndividualCloud Enterprise, IndividualCloud Maxx

    As soon as a user has been deleted from a tixxt network, the corresponding profile is also removed, and the user no longer appears in the user directory. However, any content created, such as posts or files, is retained.

    Using this configuration, the network admin can define what should be displayed for this content instead of the original author’s name.

    • If ‘No’ is selected, the user’s name is retained in the content. This name, however, is no longer associated with a profile. When making this selection, be sure that it complies with the network’s privacy policy.
    • If ‘Yes’ is selected, the user’s name is removed from their content and replaced with a general designation. ‘Former user’ is the standard designation. This designation can be customised in the text field below the selection options.
    • By selecting ‘After a transition period of x days’, you can select a date range after deletion for which the name is retained. Once this date range has elapsed, the user is anonymised.

      Security #

      Two-factor authentication #

      The network admin can define whether users can integrate a second factor into their login process as an option or whether this is mandatory. The two-factor authentication can take place in tixxt either via email and/or the Authenticator app.

      Deactivated #

      If the setting is deactivated, users do not have the option to configure two-factor authentication for their login.

      Optional #

      If ‘Optional’ is selected, users have the option to configure a second factor in the ‘account and password’ area. They can also decide at this point whether the second factor should be provided via email and/or via the Authenticator app.

      Force for all users #

      This setting makes it mandatory for every network user to configure a second factor for their login.

      Email settings #

      Direct messages
      #

      If a user receives a new direct message, they also receive a notification by email, unless this has been deactivated in their own notification settings. At this point, you can configure whether this email should already contain the entire direct message text or not.

      Recommended posts #

      Requirements:

      Available in all tixxt packages. Additional settings for the function are only available if you are using your own mail server.

      Group admins have permission to recommend posts in their own group by email and then send them to all group members.

      Allow external recipients for post recommendations

      This setting allows the group administrator to use the function ‘Recommend post as email (externally)’ in the context menu of the post to also specify email addresses as recipients that are not registered in the network. 

      Attach comments

      If this setting is selected, any existing comments on the post at the time of the recommendation are included in addition to the post text.

      Email digests (EMD) #

      Requirements: tixxt Business, tixxt Enterprise, tixxtCloud Business, IndividualCloud Enterprise, IndividualCloud Maxx

      Send on #

      Requirements: tixxt Business, tixxt Enterprise, tixxtCloud Business, IndividualCloud Enterprise, IndividualCloud Maxx

      EMDs are sent out to all network users on Mondays at 7:00 a.m. by default. 

      Starting from the ‘tixxt Business’ service package level, this time can be customised.  The time to send can be set to either 7:00 a.m. or 4:00 p.m. on any day of the week and you can select any number of times from the options available.

      Limit upcoming appointments #

      A limit of 10 upcoming appointments are accepted in the EMD by default. This can be adjusted by changing the number in the text field.

      Position of the appointments #

      Upcoming appointments are listed above the posts in the EMD by default. However, you can change this to have the posts displayed first and the appointments under them. To do this, select the option ‘Under the posts’.

      Show comments #

      Comments are not shown for posts in the EMDs by default. However, you can change the setting to show both posts and their associated comments. To do this, select the option ‘Show comments’ – > ‘Yes’.

      Daily digests for files #

      Requirements: tixxt Business, tixxt Enterprise, tixxtCloud Business, IndividualCloud Enterprise, IndividualCloud Maxx

      Daily digests provide users with a daily summary of all new or updated files by email. Members can activate and deactivate these digests per group in the notification settings. If activated by the network admin, users can also receive an email with new or updated files on the network level.

      The following options can be configured:

      • Include the general files for all users: Decide here whether files at the network level should also be available as part of the daily digests.
      • Content: Use this to specify whether the daily digests should contain only new files or both new and updated files.
      • Time to send: Set here whether the daily digests are to be dispatched daily at 7:00 a.m. or at 4:00 p.m.
      • Days to send: This option allows you to decide whether the daily digests should be dispatched only on weekdays or also at weekends.

      Birthday emails #

      Requirements:  tixxtCloud Business; IndividualCloud Enterprise; IndividualCloud Maxx
      + profile information: Date of birth

      This option allows network admins to configure birthday emails for members and design them to match the style of their organisation. This option is set to ‘No’ by default, i.e. no birthday emails are sent. If the option is set to ‘Yes’, the following areas can be personalised:

      • Image: You can upload an image here to be used in the email. The optimal image size is 580 x 300 pixels. The image can be imported using drag & drop or uploaded from a selected saved location by using ‘Select image’. You can remove a previously uploaded image by clicking on the ‘X’ next to the file name.
      • Subject: Here you can define the subject of a birthday email.
      • Text: You can use the text editor to write and design the text for the birthday email here.

      All changes or deletions must be confirmed by clicking on ‘Save’. Clicking on ‘Send test email’ sends the currently saved version of the birthday email to the address of the currently logged in user.
