After clicking on ‘Messages’, the user is taken to their own inbox.
This contains all messages that the user has received.
Select messages #
To the left of each message is a checkbox that can be ticked to select the message. You can select individual messages, multiple messages or all messages. To select all messages at once, use the checkbox in the first line at the top left. Once one or several messages are selected, you can proceed:
Mark as read/unread #
To use this action you must select at least one message. Once you have done this, you can click on ‘Read’ or ‘Unread’ above the list of all messages. By clicking on ‘Read’, the selected messages are marked as read. They then appear slightly greyed out and less prominent in the inbox. If you click on ‘Unread’, the selected messages are marked as unread again and thus displayed with full contrast.
Delete #
To use this action you must select at least one message. Once you have done this, you can click on ‘Delete’ above the list of all messages. Once this has been confirmed, the messages are permanently deleted.
Reply #
To reply to a message you have received in your inbox, open the desired message by clicking on it and then click on the ‘Reply’ option in the top right-hand corner.
The recipient and subject (Re: “$Subject of the message being replied to) are already pre-populated when replying but can still be customised. You can enter the message text below and also add attachments.
For traceability, the complete message history can be viewed at the bottom to allow you to reference any previous exchanges when composing the message.
Reply all #
If there are messages in your inbox that have been sent to several people, you can reply to all recipients of these messages using the ‘Reply all’ function.
The recipient and subject (Re: “$Subject of the message being replied to) are already pre-populated when replying but can still be customised. You can enter the message text below and also add attachments.
For traceability, the complete message history can be viewed at the bottom to allow you to reference any previous exchanges when composing the message.
Forward #
Received and sent messages can be forwarded. To do this, open the desired message either from the inbox or from ‘Sent’ by clicking on it and then click on the ‘Forward’ option in the top right-hand corner.
After clicking on ‘Forward’, the message history of the selected message opens.
You can select recipients at the top who should receive the forwarded message.
The following options are available:
- Forward to an individual member
- Forward to several members
- If group admin: Forward to a group
- If network admin: Forward to all members
When you enter the first few letters in the input field, suggestions appear from which you can choose directly.
You can then enter a subject for the message and create a message text. The text field already contains the message text of the message that is to be forwarded: ‘Forwarded by XY on dd.mm.yyyy at hh:mm: {Message text}’
You can also add attachments.
For traceability, the complete message history can be viewed at the bottom to allow you to reference any previous exchanges when composing the message.
Translate #
If this function is available in the network, the user can click on the ‘Translate’ icon in the top left corner of the direct message to have the message and any history translated automatically via DeepL. Clicking on the icon opens a context menu in which preselected languages are displayed. The option ‘More’ displays all other available languages. By clicking on the desired language, the complete message history is translated into the selected language and a small notice ‘(translated)’ is added to the text. Use the ‘Show original’ option to reset the text to the original language.
