At the top right above the file list is the ‘Add files’ button for users with the appropriate permissions.
Upload files #
Users can access the form to upload files via the button ‘Add files’. Here you can add a file from your own computer by using either the button ‘Add file’ or via drag & drop. The file is only fully uploaded when the upload progress bar is coloured green. If the upload fails, this is indicated by a red progress bar and a corresponding error message.
Choose destination folder #
By clicking on ‘Select another folder’, you can also select other folders in which the file should appear, in addition to the destination folder you have already defined. A window then opens in which you can navigate through the network’s folder structure until you find the desired folder. By clicking on ‘Select folder’ , the additional file is added accordingly.
Although several destination folders can be selected and added by users, it is nevertheless a single file that is displayed multiple times. This is comparable to the visibility that can be set for posts. Changes to the file therefore take effect in each of the selected folders.
Description #
A description for the file can be entered in the description field. This is displayed on the file details page.
Post file to the stream #
If desired, users can also post this item to the stream simultaneously while uploading it. To do this, tick the checkbox ‘Also post this file to the stream’. The description stored for the file then serves as the post text and the file is attached to the post.
The post will be published in the area in which the file is uploaded. Example: If a user is in the group ‘Human Resources’, the post will appear in the history of this group. It should also be noted here that the corresponding write authorisation for posts in the group must be available so that the function can be used.
Common use cases
Structure is key
We strongly suggest you create an appropriate folder structure for uploading files. If you want to attach a file to a post, upload the file to the desired folder first and then use the option to publish a file as a post. This way, the file is stored in a proper location and not attached to the unsorted file stream. This can save you time an effort.
