General #
With tixxtDOCS, files can be viewed and edited directly from the network. There are two buttons for this on the file detail pages: “View” and “Edit”.
The “Edit” button is only available if the respective user has the necessary permissions to edit files.
tixxtDOCS is based on the office suite “onlyoffice”. Hosting takes place on the servers of mixxt GmbH, meaning that the usual data protection standards of tixxt also apply to the (joint) editing of files.
View #
Click on the “View” button to be redirected to the file’s view mode. This opens a new browser tab.
The following file types are supported:
- .docx
- .xlsx
- .pptx
This mode is only used to open and view the file and is always available to every user.
Edit #
Click on the “Edit” button to be redirected to the file’s edit mode. This opens a new browser tab and starts a new editing session.
If a document is edited with tixxtDOCS, a new file version appears in the version history on the file details page after you close the tab. Any changes are saved automatically.
New versions generated via tixxtDOCS are displayed as “minor” versions in the version history (e.g. v2.3 → Version 2 of the file with 3 versions generated by tixxtDOCS).
If a file is currently being edited by another user, the following message appears on the file detail pages: “The file is currently being edited with tixxtDOCS.”
The following file types are supported:
- .docx
- .xlsx
- .pptx
If the same user opens the same file in a further editing session, the previous session is automatically terminated to conserve the platform’s session limit.
Approve changes #
Each group admin can configure in the group administration whether changes to files can be made directly to the document or whether they must first be approved by the administrators.
To activate this permission, you need to make the following setting in the group administration: File permissions – Existing files can be edited and new versions can be created by → Administrators & members after approval
If this setting has been made, clicking on “Edit” opens each file for normal users (not admins) in mandatory tracking mode. This means that all changes in the document will be labelled as changed. All elements added and/or changes made to the document are highlighted.
These changes can then be approved or rejected by an admin who will receive an approval request for the changes. The admin is notified via a counter (e.g. a small “1” for a proposed change) on the file icon on the left in the module selection. The file module displays a prominent message above the file list informing the user that changes have been proposed.
Changes to review #
After clicking on the “Approval requests” button in the file module, the admin is taken to the open changes for review.
The following information and options are displayed:
- File name
- Last change on
- Last author
- “Edit” button (to access the file’s editing mode and accept and/or reject changes)
- Number of changes and new comments in the document
New version(s) #
If a file must be approved by an admin after being changed by a user, the new version will be displayed in the version history, but with a reference to the proposed changes. Proposed changes are only included in the document once they have been accepted by an admin. A new tixxtDOCs file version then appears. The admin who approved the changes is listed as the creator of this version.
