The calendar module allows users to display appointments for a selected month in different views and with different filters.
Monthly calendar view #
By selecting In the ‘Monthly calendar view’
, appointments are displayed in the style of a classic monthly calendar. The view type for the days of the week is horizontal and the calendar week starts on the first day of the week. Individual appointments are displayed chronologically within the days of the week; all-day appointments appear at the top in this view. The current date is highlighted in colour for better visibility and can be accessed directly by clicking on ‘Today’. New appointments can be added by double-clicking on any day. You can also use the ‘New appointment’ button at the top right to do this.
List view #
Via the button ‘View: List’
, appointments are displayed one below the other in a continuous list. The day of the week and respective date are displayed on the left. This view also displays the calendar week at the start of a new week above the first day of the week (Monday). The individual appointments per date are arranged chronologically to the right of the day of the week. All-day appointments appear at the top of the display and are marked ‘All-day’. The current date is highlighted in colour for better visibility and can be accessed directly by clicking on ‘Today’.
All appointments #
In the view ‘All appointments’, which can be accessed via the left side navigation, you can view the appointments from all calendars for which you have access permission. This includes appointments from your own personal calendar, network and group calendars as well as shared calendars.
Filter #
It is possible to configure various filter views for calendars. The button ‘Filter calendar’
can be used to show or hide all calendars available to the user. Only the appointments in the specific calendars are then displayed in the respective calendar view.
The calendar can be linked, including filter settings. The link for the calender is located in the upper right corner, next to the button “New appointment” after the three dots. Clicking on “Copy calendar link” saves the direct link to this calendar view together with the active filters to the clipboard. This allows this view to be linked directly from other locations within the network.
Personal calendars #
Personal calendars are the user’s own calendars. By default, these are only visible to the user and cannot be viewed by others. However, there is an option to share personal calendars with other users; see ‘Shared calendars’. By default, each user has at least one personal calendar with the name ‘My calendar’. Users can create any number of personal calendars via ‘Manage calendars’and then ‘Add calendar’.
Personal calendar appointments are displayed for the user in the overview of all appointments and can be selected and viewed separately using the filter icon.
Shared calendars #
Shared calendars are the personal calendars of other users which have been released for the current user to view.
Sharing and releasing specific personal calendars for other users is a helpful function to allow other users to view personal appointments.
If a user has shared another user’s personal calendar, they will find the appointments in the general overview of their appointments. They can then view them again separately using the filter ‘Shared calendars’
. Creating and editing appointments in these shared calendars is not possible. This can only be done by the user who shared the calendar. Users can view calendars that have been shared with them via the ‘Manage calendars’ function. You can also share your own personal calendars with other users there, to make your calendar view available to others.
Common use cases
Shared calendars can be useful for executive members and their assistants, so that appointments can be organised more easily.
Group calendar #
Each group has one group calendar by default. The name of the calendar is initially the same as that of the group, but can be renamed afterwards. Additional calendars can also be added by the group admin. This allows group-specific new appointments to be created, depending on permission, which can be viewed by all group members. The group calendar can be accessed by clicking on the ‘Appointments’ icon
and then clicking on the specific group.
Alternatively, you can switch to the calendar via the group navigation within the group by selecting ‘Appointments’.
Depending on permissions, group members can view and edit appointments or create new appointments.
