Requirements: none
You can access your personal user profile by clicking on your profile picture in the top right-hand corner in the top bar and then selecting ‘My profile’.
The information you have entered via the ‘Edit profile’ function can be found here. You can also access your own posts in the left-hand context menu via ‘Posts’ and those you have liked via ‘Likes’.
Edit account & password #
Requirements: none
You can access the ‘Account & password’ item from the dropdown which opens when you click on your own profile picture at the top right.
You can also access this item in your own user profile via the left-hand context bar.
If you select this item, you are taken to the ‘Edit access & password’ page.
Email address #
In the ‘General data’ tab, you can change the email address with which you are registered and which is used to receive notifications from the network.
To do this, you must first enter the new email address in the ‘Email address’ field and confirm the change by entering your current password. To do this, enter the current password at the bottom of the page under ‘Please enter your current password to confirm the changes’ and select ‘Update’.’
An email with a confirmation link is then sent to the newly entered email address (check your spam folder if necessary). After clicking on this link, the new email address is stored in your user profile and you can use it to log in from now on.
Change password #
Requirements: none
If you want to change your current password, you can do this via ‘New password’. tixxt passwords must fulfil the following criteria:
- at least eight characters
- at least one upper case letter
- at least one lower case letter
- at least one number
In the ‘Confirm new password’ field, you must enter the new password again to confirm and to ensure that no typing errors have crept in.
You must then confirm the password change at the bottom of the page by entering your current password under ‘Please enter your current password to confirm the changes’. By clicking on ‘Update, the change is confirmed and the new password can be used the next time you log in.
In all three the input fields, the user has the option to display the password in plain text by clicking on the ‘eye’ icon. Clicking the same icon again will display the password as encrypted.
Reset authentication token #
Requirements: none
The authentication token allows you to retrieve feeds (posts) and appointments as a feed (Atom/RSS or webcal/ical). This enables a feed reader on the user’s end device or web software to subscribe to and display the protected feed or the user’s calendar software in order to access their appointments (e.g. Outlook with ‘Subscribe to external calendar’).
You can generate an initial token or a new token to replace the existing token at this point. You can also remove the token to disable its function again.
You can reset the token by generating a new token, e.g. if the token should fall into unauthorised hands.
Note: If you are currently subscribed to feeds, you must add them to the feed reader again or update their URL after you revert the token.
You must then confirm the generation or removal of a token at the bottom of the page under ‘Please enter your current password to confirm the changes’ by entering your current password and clicking on ‘Update’.
Two-factor authentication #
Requirements: Two-factor authentication must be configured via the network administration. Available second factors:
- Authenticator ap
With the ‘Two-factor authentication’ tab, users can add additional security to their user access by adding a second factor for authentication.
This factor can be selected depending on which second factor the network admin has enabled for the user.
Authenticator app #
If this option is available, you can start the configuration for your own access by clicking on ‘Add authenticator app’.
To activate it, the QR code displayed must be scanned with an authenticator app on a mobile device. Some apps that can be used include Google Authenticator, FreeOTP or Authy. To complete the second factor registration, the process must be verified with a valid code from the Authenticator app and saved by clicking on ‘Add two-factor authentication’.
Email #
If this option is available, you can configure this factor for your own access by clicking on ‘Add email as second factor’.
This triggers an email for the user which contains a verification code. This code must be entered in the input field and saved by clicking on ‘Add two-factor authentication’.
Microsoft Teams #
Requirements: The Microsoft Teams Meeting integration has been configured by a network admin.
You can create a link to your own Microsoft user under the ‘Microsoft Teams’ tab. This allows you to create Microsoft Teams appointments in tixxt and attend Microsoft Teams meetings created via tixxt.
Click on ‘Link account’ to establish the connection. The following confirmation message appears: ‘The external account has been successfully connected’.
The setting can be reverted by clicking on ‘Detach account’.
Edit profile #
Requirements: none
Note: The ‘Profile data change requests’ function may be active on the network. In this case, changes are not saved immediately, but must first be approved by the network administration. If there are pending change requests, the text message ‘Pending profile data change’ is displayed under ‘My profile’ and ‘Edit profile’. The profile will only be updated once the change requests have been approved or rejected.
The ‘Edit profile’ item can be found in the left-hand context menu in the ‘My account’ area.
By selecting this, you are taken to the ‘Edit profile’ page. You can also access this page by clicking on your profile picture in the top right-hand corner of the top bar and then selecting ‘Edit profile’.
Here you can see all the profile fields that can be filled in. Some of these fields are marked with an asterisk *, which indicates that they are mandatory fields. If they are not filled in, the profile cannot be saved. First name and last name are always mandatory fields so that the user can be found in the network under their name.
If a profile field is greyed out, it cannot be edited in tixxt. This setting is usually activated if the content of this field is synchronised from another data source, e.g. a CRM.
Depending on the package booked, it is possible to set up customised profile fields. For this reason, the appearance of the user profile at this point may differ depending on the network.
If a user adds or changes their profile data and then saves it, this new data is displayed on the ‘Information’ page in the user profile.
How to motivate your user base
Whether you just joined the platform or as a “veteran” member: Always be a role model to others. Set an example and keep a well maintained user profile by for example adding a current profile picture. Users uploading a profile picture can be a factor in whether others see the network as authentic.
Language settings #
Requirements: none
The ‘Language settings’ item can be found in the left-hand context menu in the ‘My account’ area.
Here the user can specify their preferred language. After selecting and confirming with “Save”, the system will be permanently shown in this language until the user manually changes it. Content created by users is not automatically translated with this setting. However, the DeepL integration can be used for translation if it has been activated by a network admin.
Hidden posts #
Requirements: none
The ‘Hidden posts’ item can be found in the left-hand context menu in the ‘My account’ area.
Users whose posts have been hidden using the ‘Hide posts from <user>’ function in the context menu of a post are displayed here.
By clicking on the ‘Stop hiding posts’ button, the posts can be displayed again for each user and the hidden feature is cancelled.
Notification settings #
Requirements: none
Users in tixxt can customise which activities and events from the network they would like to be notified of by email.
You can access these settings by clicking on your profile picture in the top right-hand corner of the top bar and then selecting ‘Notification settings’.
Unread email digests #
Requirements: none
In the tab ‘Digests (Unreads)’, you can set whether you want to receive regular emails about activities in the network that you have not yet read. These are called email digests (EMDs).
The following settings can be made:
- Deactivate digest: No digests will be sent about activities in the network that you have not yet read.
- Subscribe to all groups: An email digest is sent for each group in which you have a membership.
- Only for selected groups: You can choose specific groups in which you have a membership and from which you would like to receive email digests.
Daily file digests #
Requirements: tixxt Business, tixxt Enterprise, tixxtCloud Business, IndividualCloud Enterprise, IndividualCloud Maxx
If this has been activated by the network admin, the ‘Daily file digests’ tab is in the second position.
The daily digests provide information every day about changes in the file module by email. The following settings can be made:
- Deactivate daily file digests on the group level: No daily file digests are sent.
- Subscribe to all groups: A daily file digest is sent for each group in which you have a membership.
- Only for selected groups: You can select specific groups from which you would like to receive file notifications.
Depending on the settings in the network administration, the notifications will only contain information on new files or also on new file versions.
You can also subscribe to file updates for files at network level in the settings, provided the network admin has also activated this option. To do this, select the option ‘Switch on daily file digests at network level’ below.
Reactions #
Requirements: none
In the ‘Reactions’ tab, you can set which reactions to your own content or activities should result in a notification email being sent. This can also be activated an deactivated on a per-post basis.
Somebody reacts to one of your posts #
If this setting is selected, you are informed by email as soon as a comment has been posted under your own content.
Somebody reacts to one of your shared posts #
If this setting is selected, you are informed by email as soon as a comment has been posted under content you have shared.
Somebody reacts to one of your questions #
If this setting is selected, you are informed by email as soon as a comment or another answer is posted under a question you have previously answered.
Somebody reacts to one of your comments #
If this setting is selected, you are informed by email as soon as additional comments are added under your comment.
Somebody reacts to a poll you have answered #
If this setting is selected, you will be informed by email as soon as a comment or another answer is posted under a poll you have previously answered.
Instant notifications #
Requirements: none
In the ‘Instant notifications’ tab, you can set which events in the network you would like to receive an email notification for.
New direct message received #
If this setting is selected, an email notification is triggered as soon as a new direct message is received in tixxt.
Recommended posts (via email) #
If this setting is selected, an email notification is triggered as soon as a group admin recommends a post via ‘Recommend post as email’.
Authorship transferred to me #
Requirements: tixxt Enterprise, IndividualCloud Enterprise, IndividualCloud Maxx
In certain tixxt packages, network admins have permission to change the author of a post to any other user in the network. If a user is set as the author of a post, they receive a notification by email if this is configured here.
Invitation to an appointment #
If this setting is selected, an email notification is triggered as soon as an invitation to an appointment is issued.
New participation for an appointment #
Creators of an appointment, as well as group admins, have permission to subsequently add participants to an existing appointment. A participation status (accepted/declined) can also be set. If the setting is activated at this point, the user receives an email notification about their new participation in the appointment.
Participation status for an appointment changed #
Creators of an appointment, as well as group admins have permission to change the participation status of people invited to an appointment. When this happens, the user whose participation in the appointment has been changed receives an email notification, provided the setting is activated here.
Reminders for online meetings #
If this setting has been selected, an email notification is sent if there is a pending appointment with an online meeting that is due to start in 15 minutes.
Appointment messages #
Creators of an appointment, as well as group admins, can send appointment messages to the users invited to the appointment. To do this, the setting must be selected here.
Invitation to a group #
If this setting is selected, an email notification is triggered as soon as a new invitation to a group is received.
Assigned a task #
If this setting is selected, an email notification is triggered as soon a task is assigned to the user in the tixxt task module.
A new version of a file is waiting #
tixxtDOCS enables the editing of files in a moderated mode, in which changes to files are only applied to the document after approval by a group admin.
If this setting is selected, group admins are notified by email as soon as a new file version with changes is ready for approval.
Your new version of a file has been accepted #
If this setting is selected, an email notification is sent as soon as your file version with changes has been approved by a group admin.
Your new version of a file has been declined #
If this setting is selected, an email notification is sent as soon as your file version with changes has been rejected by a group admin.
App Creator: New assignment to an item #
If this setting is selected, an email notification is sent when an app entry is assigned to you, provided the app configuration allows this.
App Creator: Assignment for item removed #
If this setting is selected, an email notification is sent when the assignment of an app entry to you is removed, provided the app configuration allows this.
Newsletter #
Requirements: The newsletter function is active for the network.
In the ‘Newsletter’ tab, users can choose whether they wish to receive the network’s newsletter. Ticking the ‘Newsletter activated’ checkbox will activate newsletters for the user, unticking the checkbox will turn it off again.
For Admins #
Requirements: This setting is only visible for group or network admins.
In the tab ‘For admins’, network or group admins can set which admin-relevant events in the network they would like to be notified of by email. This tab is not visible to standard users.
- New network members: By selecting this setting, network administrators are informed via email as soon as a new user has completed the registration process for the network.
- New member requests: By selecting this setting, network administrators are informed via email about new member requests in the network and group administrators are informed about new member requests for their group.
- Reported content: If this setting is selected, network administrators receive an email notification as soon as a post has been reported by a user.
