There are different user types in tixxt, each with different permissions and technical functions.
tixxt offers the following user types: Standard users, Guest users, Consumer users, PIN users.
Standard users #
The tixxt standard user enters the platform either by registering or by invitation. Login is possible via the person’s email address and password. Standard users have all the permissions defined for the network and group level.
Guest users #
Requirements: tixxt Business, tixxt Enterprise, tixxtCloud Business, IndividualCloud Enterprise, IndividualCloud Maxx
Guest users do not have access to global network areas, such as global feeds or files and calendars at network level. They are only able to interact in network sections/groups to which they have been invited. In these areas, they have all the same rights as full members. Channel administrators and managers also have the option of sharing selected channels with guest users. When a channel is shared with guest users, they are able to see the channels in the module bar on the left and can view all shared channels in their entirety. Guest users can be invited by admins or join the network independently. This is possible if the network admin has configured ‘Guest access’ in ‘Joining the network’.
Network admins can also configure that guest users are able to see group promotions. If this is activated, group promotions include all groups that are enabled for guest users.
Should existing groups need to be opened to guest users, the network admin can do this via Administration > Sections and groups. Use the context menu of the relevant group to activate the ‘Show to guest users’ checkbox.
Groups selected with a tick are displayed to guest users in the group directory. These groups can also be included in the group promotion for guest users.
If the network chat is available, it can be activated or deactivated for guest users. If activated, guests users can chat with all members of the shared groups. Group messages are also possible, provided the chat room is activated for the group.
Guidelines for collaboration
Guest users
Guest users are suitable for adding external parties to the network. This allows you to collaborate with people who are not full members of the network. These may include external consultants, researchers, trial members and other interested parties.
Consumers #
Requirements: tixxt Business (€), tixxt Enterprise (€), tixxtCloud Business (€), IndividualCloud Enterprise (€), IndividualCloud Maxx
Consumers must be enabled for the network, which may result in additional costs.
The unique property of consumer users is that they do not yet have full network membership, but may still receive email digests (EMDs) from the network. Posts can also be recommended to consumers via email if this is set in the context menu for the post. Invitations to appointments can also be sent to consumers, provided this has been configured in the appointment invitation.
Consumer users have already been created in tixxt and may also be assigned to groups, but do not yet appear in any directory as they have not yet joined the network. Groups with consumers among the group members contain a notice in the member directory that additional users from this group receive email digests.
Every email sent to a consumer user also contains a personalised link to register. This means that – in contrast to a one-time invitation – a regular reminder is sent from the network which includes a link to register in the network.
Creating a consumer user #
There are two methods to create a consumer in tixxt:
- Manually via the admin interface
- Automatically via the tixxt API
Manually via the admin interface #
If this function is active for the network, you can find the ‘Manage consumer users’ menu item under ‘User management’ in the network administration.
You can create a new consumer user in the top right-hand corner of this page.
After clicking on the button, you must first enter the email address, first name and last name of the new consumer. By clicking on ‘Save consumers’, the consumer is created and appears in the table on the main page.
In order for the created consumer to receive email digests from the network, they must be assigned to groups. To do this, you can use the group icon
to manage a consumer’s group memberships. The number of group memberships is then displayed on the main page under ‘Groups’.
This table also shows whether the consumer currently receives email digests. Each email digest sent to a consumer user includes the option to register and also to manage the notification settings. If all notifications have been cancelled, the space under ‘Received’ remains empty.
Consumers can also be deleted via the ‘Bin’ icon on the right. Once deleted, the consumer no longer receives emails and can no longer register.
Automatically via the tixxt API #
The consumers function is most frequently implemented via the tixxt API. Here you can specify an optional parameter ‘consumer’ when creating users, e.g. for a CRM sync or a user import.
This comes in handy, as group memberships are usually already assigned in this case, eliminating a lot of manual work.
With this option too, all consumers can be viewed via the interface in the network administration.
Exporting consumer users #
Above the table on the ‘Manage consumer users’ page, you find the option to generate and download an export of all consumer users, either as CSV or XLSX file.
PIN users #
Requirements:
New packages: tixxtCloud Business, IndividualCloud Enterprise, IndividualCloud Maxx
Old packages: tixxt Business, tixxt Enterprise
PIN users must be enabled for the network, which may result in additional costs.
PIN users do not have a desktop workstation, as they work as ‘non-desk workers’, for example in a company’s production department. For this reason, this user group does not have a personal email address which they could use to register on the network. In order to enable these users to still access tixxt, they receive a ‘generic email address’ via the PIN user function, including an associated PIN, which can be used to set and change a password.
Note: As there is no dedicated email address available, PIN users do not receive any system notifications or automatic email digests (EMDs).
The “PIN users” function can be very useful to include employees from your production facilities without access to a workplace computer. Whether on the assembly lines or behind the counters, any of your workers using a mobile device now has access to tixxt.
Most relevant for:
Businesses
Franchise
Creating a PIN user #
A PIN user is created via the admin interface. If this function is active for the network, it can be accessed in the network administration under ‘Users and groups’ via ‘Manage PIN users’.
You can create a new PIN user in the top right-hand corner of this page. When configuring the function, the customer provides tixxt customer support with the desired email domain. tixxt recommends using a domain already owned by the customer. The first name and last name can then be entered in the ‘Edit PIN user’ form. From this information together with the configured email domain, a placeholder email address is generated. This placeholder email does not have an inbox connected to it and therefore cannot receive any system emails. It is only used for logins to tixxt. An external ID must also be assigned to the user.
By clicking on ‘Save PIN user’, the user is created and appears in the table on the main page. By clicking on the pencil icon to the right of the user’s entry, the previously entered information can be edited.
Working with a PIN user account #
Exporting PIN users #
Above the table on the ‘Manage PIN users’ page, you find the option to generate and download an export containing the associated PIN for each PIN user, either as CSV or XLSX file. This pin must be sent to the user together with their placeholder email address using a secure method.
Via the ‘Forgot password’ function, there is an additional tab ‘Change password (for PIN users)’, if PIN users are configured. Here you can set a personal password by entering the placeholder email address and the PIN. It is also possible to revert the password in this way.
Validity of the PIN #
The PIN is valid until a network admin resets it. It can be used multiple times. To reset the PIN, click on the pencil icon to the right of the user entry in the overview of PIN users. In the following screen ‘Edit PIN users’, you can find the checkbox ‘Reset PIN’ at the bottom. If this box is checked and saved, the user’s PIN is reset and must be obtained again from a newly generated export of PIN users.
